Case study
Occupational Health Service Provider - Change to Digital Dictation & Apple LiveWire
Background
One of our very first clients was a medium-sized occupational health company based in the northwest. Their consultants spend most of their time on the road, visiting clients’ premises and producing numerous lengthy reports daily. Traditionally they had dictated their reports onto mini cassettes, passing these to one of the secretaries for typing on return to the office. However, changing business demands and client expectations for quicker turnaround of their reports meant that procedures needed to be reviewed and improved upon.
Aims/Objectives
The need to move to a more versatile, advanced dictation system arose for a number of reasons:
|
Increasing need for reports to be written up/mailed same day or next day, latest |
|
Equipment failure becoming the norm, rather than the exception |
|
Increase in number of dictators |
|
More widespread geographical location of dictators |
|
Time & money wasted dropping off/mailing cassettes |
|
The need for a comprehensive file management system |
Hence, a better all-round solution was required
The Requirement
To link several medical practitioners with a ‘remote’ transcription facility to provide a speedier, efficient, cost-effective reporting service to clients.
Research
First of all Apple Transcription researched a number of products on the market to identify which one would best suit the client’s needs. The product had to be within budget, simple to use and extremely efficient from the client’s points of view, to ensure continuity and quality of service. The product also had to combine with a system of work which would be scalable and, equally important, secure and reliable.
Solution
Ultimately Olympus digital recording equipment was selected for its ease of use, value for money and compatibility with other systems.
Apple Transcription then developed its unique secure online system, Apple Livewire. This allowed the client to upload sound files and download completed Word documents, as well as to track the progress of all jobs by simply logging on, whilst securely maintaining both sound files and completed reports for future reference.
Many other benefits were enjoyed from day one – these were: speed of receipt & return of work, ability to submit work from any geographical location at any time of the day or night, no additional support/service costs, together with free helpline support and simple user guides.
Conclusion
In conclusion, changing from analogue to digital dictation in conjunction with the added benefits that Apple Transcription’s secure online system provides, has saved this particular client time and money and dramatically speeded up their important reporting process. |
